Content Administrator, Exchange

Reports to: Director, Exchange Content Development and Production Executive

American Public Television (APT) is the leading syndicator of content to U.S. public television stations. For nearly 60 years, APT has distinguished itself by delivering an ambitious volume of high quality programs to public media. APT Exchange is the content division providing approximately 150 of the company’s 250 annual titles. Programs range from Rick Steves Europe to America’s Test Kitchen and hundreds of award winning documentaries. APT Exchange genres predominantly include how-to/lifestyle, travel, documentaries (largely history, health, military, social issues), news and current affairs, entertainment, performance, biographies, and arts. APT distributes two 24/7 multicast channels – Create, featuring how-to, travel and other lifestyle programs; and WORLD, offering non-fiction, documentary and news content. APT’s work is accomplished by an extraordinary team of people who are passionate about public media. APT has the following full-time position open in its Boston, MA location.

Summary – Job Objective
The Content Administrator oversees details of the programming process from content submission to contract, and provides exemplary customer service to APT’s clients. This position entails working closely with content suppliers (both public television presenting stations and independent producers), as well as with all APT departments to ensure the timely and efficient acquisition and distribution of programs. The Administrator maintains the Exchange program database and the Exchange Program Submission portal, providing information and quality control to support departments and clients in regard to all facets of Exchange programming business. The Administrator supports the Director and Vice President with budgeting, correspondence, program information, and planning of system-wide program marketing. This is a high work-volume position.

Essential Duties
Supervise the submission process for Exchange program offers
  • Actively solicit program offers from stations on a regular basis and liaise with producers
  • Monitor receipt of submissions for teleconferences/screenings
  • Process submission materials and evaluate entries
  • Take lead role with program suppliers to ensure delivery of all materials and clear comprehension of APT rules/guidelines
  • Maintain and troubleshoot program database and program submission portal for Exchange titles
  • Administer program offer process and negotiate timeline details with suppliers, including proposed delivery, release dates, and rights terms
  • Create initial program-related agreements with suppliers that determine program use for the public TV system
  • Edit program marketing-related descriptions and materials

Oversee the program release process
  • Manage program file release process via public television system interconnect; schedule satellite feeds as necessary for live and near-live content
  • Create and administer preliminary contracts for offered programs; negotiate terms if supplier requires while representing APT’s interests.
  • Coordinate intake, review, and approval process of program packaging elements; educate producers and suppliers in regard to APT guidelines on content of these elements
  • Work with program suppliers to negotiate or complete final points necessary to move forward with program contract
  • Liaise with contracts department during Program License Agreement phase
  • Ensure that correct insurances have been obtained from supplier in compliance with APT requirements

Provide administrative support to the Director and Vice President, Exchange:
  • Budget preparation
  • Meeting preparation
  • Respond to phone calls as necessary

Provide other internal and external customer service duties
  • Review, maintain, and update program intake-related forms and documents as needed
  • Provide regular Exchange informational and title-specific postings to public television system intranet
  • Plan and execute ongoing communications with program managers and presenting stations; provide top-level customer service to build effective relationships with station clients
  • Provide Communications with scheduling grid for client newsletter on a monthly basis; contribute to editing of newsletter
Dependable work attendance necessary

Additional Responsibilities:
  • Screen and review program submissions upon request; share analysis
  • Perform any other related duties as assigned
  • Occasionally train staff
  • Assist other departments as needed

Qualifications and Abilities Required:
  • Bachelor’s degree or the combination of equivalent education and work experience
  • Excellent interpersonal, written, and verbal communications, and extreme attention to detail
  • Knowledge of and/or facility with learning: Google apps, Excel, PowerPoint, Lotus Notes software, and other PC-based or Microsoft-based applications
  • Excellent client service skills
  • Three years’ experience in public television programming or traffic preferred
  • Strong program management skills and the ability to work independently or with a team on multiple projects
  • Experience with legal documents, including processing, language, and terms strongly preferred

  • Aptitude to work in a detail-oriented environment with a strong focus on accuracy while balancing a high volume of work
